Hapole’s Heartland Lodge Inc. Rental Policies

Our policies have been created to provide you with a pleasant stay and make you aware of some important details prior to your visit. Please read our policies prior to making a reservation.

1.   RATES & FEES:

Guests acknowledge, understand, and agree that the moment Guests give Harpole’s Heartland Lodge, Inc. their credit card information, Harpole’s Heartland Lodge, Inc. is authorized to charge credit card for the rental amount agreed upon including any additional guest fees, cleaning fees, and taxes.

We require a two (2) night minimum stay.

A $35 cleaning fee will be charged to your credit card at the time of reservation. This cleaning fee is for normal cleaning and does not include excess cleaning or times guest is responsible for listed below in Departure Procedures.

Guest shall provide a guest list prior to driving directions being sent. If you are found to exceed the maximum occupancy of your cabin, you will be charged a minimum of $200 and it will be considered a breach of contract and may result in immediate eviction with NO REFUNDS OR REBATES. Extra visitors will be charged a daily rate for the use of the property.

ALL GUESTS MUST BE AT LEAST 25 YEARS OLD OR OLDER, except for those who are in the presence of their parent(s) or legal guardian(s.) By submitting your reservation you are confirming that you are 25 years old or older and that all of the guests are either 25 years or older, or any who are under 25 are with their parent(s) or legal guardian(s.)

2.   CANCELATION AND RESCHEDULING POLICY:

Cancelations, rescheduling, or changes must be submitted in writing and confirmed upon receipt by Harpole’s Heartland Lodge, Inc. no later than sixty (60) days prior to check-in date, in order to receive refund, less a $125 or 10% of total reservation processing fee, whichever is greater.  If cancelations, rescheduling, or changes are made less than sixty (60) days prior to check-in date NO REFUNDS OR REBATES will be offered.  Reservations made less than sixty (60) days prior to arrival  NO REFUNDS OR REBATES will be offered. Harpole’s Heartland Loge, Inc. is not responsible for Guests inability to arrive or if Guests chooses to depart early for any reason, or if members of Guests party do not show up.  NO REFUNDS OR REBATES will be offered.   
 
3.   REFUNDS:

This Cabin Rental Agreement is a legally binding agreement between Guests and Harpole’s Heartland Lodge, Inc.  Your reservation binds you to a specific period of time.  Harpole’s Heartland Lodge, Inc. will make every effort to correct any problem that arises during your stay in a timely manner.  There should be no expectation of refund, and there will be no refund or relocation because you are disappointed with the property you have chosen to rent or in the event that something associated with the property is not working to your satisfaction. Under no circumstances there will be no refunds or compensation for:  Acts of God, Mother Nature/inclement weather (i.e Snow/Ice), acts of war or government agencies, road maintenance, gas shortages, power outages, mechanical failure of equipment and/or appliances such as but not limited to: air conditioning, heating unit, dishwasher, washer, dryer, TV, toaster etc. 

 
4.   CHECK-IN, CHECK-OUT TIMES:

Check in time is any time after 3:00 PM; check-out is any time prior to 11:00 AM.  Cabin will not be available until check-in time of 3:00 PM.  Guests acknowledges Agreement/Contract and authorizes Harpole’s Heartland Lodge, Inc. to charge their credit card on file one full night’s rental for a check-in earlier than 3:00 PM or a check-out later than 11:00 AM.

    Paper products, condiments, spices, and cleaning supplies.
    Soap, Shampoo, toilet paper, paper towels, dish soap etc.
    Laundry detergent and dryer sheets
    Dishwasher soap
  • What’s Included:
    High quality linens (Minimum 400 thread count) and towels
    High quality pillows
    High speed WI-FI Internet
    Satellite TV
    Blue Ray DVD Player
    Washer and Dryer

5.   DIRECTIONS:

Directions will be emailed prior to your arrival date providing the reservation has been paid in full, guest list has been submitted and this agreement executed.  To avoid getting lost, we highly recommend you DO NOT use GPS or internet mapping once you arrive in Pike County. Please PRINT directions as cell service is not always available. If Guests leave home without directions or if guest can’t find cabin, Harpole’s Heartland Lodge, Inc. cannot be held responsible for Guests being unable to find the cabin. NO REFUNDS OR REBATES will be offered.            

Roads leading to cabin properties is gravel and up a large hill. Harpole’s Heartland Loge, Inc. is not responsible for conditions of road NO REFUNDS OR REBATES will be offered. 

6.   PET POLICY: Pets are not allowed.

If pets are brought a charge of not less than $500 will be charged to the credit card on file.

If this Pet Policy is not met, Guests are in violation of this Agreement/Contract. Guests acknowledge Agreement/Contract and authorize Harpole’s Heartland Lodge, Inc. to charge their credit card on file for $500 plus any damages sustained. Guest will be asked to leave with no refunds. 

7.   CONDUCT:   

Harpole’s Heartland Lodge Inc., does NOT permit weddings, wedding receptions, rehearsal dinners, parties, family reunions without prior written consent by Harpole’s Heartland Lodge, Inc.            

NON SMOKING – All cabins are non-smoking. Smoking is permitted outside. Guests agree to pay not less than $350 for odor abatement if they smoke in the cabin or if cigarette butts are left on the grounds, which $200 will be deducted from deposit on file.  Please discard cigarettes and butts in outside cigarette ashtrays. Do not throw butts in yard, driveway or fire pit. 

No drinking of alcoholic beverages by persons under the legal age of twenty-one (21) is allowed in rental properties.  Guests agree that if Guests are arrested for underage drinking at rental properties or if Harpole’s Heartland Loge, Inc. observe Guests under the legal age of twenty-one (21) drinking alcoholic beverages, this Agreement/Contract may be terminated and Guests evicted with no refund or rebate at the option of Harpole’s Heartland Lodge, Inc.  Illegal drug use is strictly prohibited.

Maximum occupancy is 10 people.  Roll-away beds, inflatable mattresses & sleeping bags are prohibited without prior written consent from Harpole’s Heartland Lodge, Inc.                

Use of premises shall not be such as to disturb or offend neighbors, including but not limited to; parties, excessive speeding through country roads, riding of ATV’s or Off Road Motorcycles/Dirt Bikes, excessive noise and/or obnoxious behavior, discharging of Firearms, BB/Pellet Guns, Paint Ball Guns, Potato Cannons, or Fireworks, etc.  Harpole’s Heartland Lodge, Inc.  has the prerogative to terminate this Agreement/Contract and to demand that disruptive Guests vacate the premises, thereby forfeiting all monies to Harpole’s Heartland Lodge, Inc. Noise carries, refrain from making excessive noise between the hours of 10 pm – 8 am.  NO REFUNDS OR REBATES will be offered. Any violation of the above terms of conduct will result in immediate eviction. NO REFUNDS OR REBATES will be offered.

8.   AMENITIES:

CABLE/SATELLITE TV –  Harpole’s Heartland Lodge, Inc. cannot guarantee TV channel availability. Cabin does not offer premium packages, i.e., Movie Channels, Sports Channels, Pay Per View, etc. Harpole’s Heartland Lodge, Inc. cannot under any circumstance activate premium channels. If loss of service happens no refunds are given.

FURNISHINGS/FURNITURE – All furnishings/furniture in the cabin are in place where we want them. Guests agree to pay not less than $100 if furniture is rearranged in such a manner that results in cleaning services being delayed.

PROPANE GRILLS – Properties with propane grills are fueled by liquid propane, and under NO circumstances may Guests add charcoal or any derivative of charcoal to the propane grills. Guests agree that if Guests add charcoal to a propane grill, Harpole’s Heartland Lodge, Inc. is authorized to charge not less than $100 to Guests credit card for cleaning of grill.

FIREPITS –   DO NOT LEAVE BURNING OR SMOLDERING FIRES UNATTENDED. Guests are responsible for their own firewood, matches and fire starter.

WI-FI AVAILABILITY Cabin has Wi-Fi internet access for your enjoyment. This free service is an open, unsecured network provided for your convenience. By gaining access you acknowledge that you are assuming all risks and understand all conditions. Please be aware:
· The service is open and available to everyone; therefore it is not a secure server.
· The providers do not guarantee the privacy of your data and communications while using the service.
· There are potentially serious issues with any computer connected to the internet ranging from viruses, worms and other programs that can damage the user’s computer.
· When using these providers, we suggest that you confirm that your computer has current antivirus software and proper firewall protection.
· There are no refunds or compensation if WI-FI is not working. Please call us if WI-FI is not working and we will let the provider know. Please reboot your computer a least once to see if that fixed the problem.

9.   MAINTENANCE ISSUES:

In case of a breakdown of any property equipment, guests shall notify Harpole’s Heartland Lodge, Inc. immediately. We cannot guarantee: heat, air conditioning, electricity, water, any appliances, cable, satellite, television, telephones, electronics grills, etc. NO REFUNDS OR REBATES will be given. Should a repair person make a call to repair or replace a unit that is found to be in non-working order and the problem was due to Guests oversight, neglect or misuse, Guests agree that the repair call costs may be billed to the Guests credit card on file.           

LOCK OUT – A lock out of Guests from cabin will result in a $25 service call during business hours and $50 after business hours. 

DEER – LADYBUGS – INSECTS – Guests are in the country and woods and depending upon the time of year may encounter Deer, Raccoons, Coyotes, Bobcats, Turkey, Ladybugs, Carpenter Bees, Wasps, Scorpions, Snakes, Ticks, Mice, Ants, Chiggers, Squirrels etc.  Guests are encouraged to dress accordingly and to bring insect repellent for outdoor activities. NO REFUNDS OR REBATES will be offered.

10.   RIGHT OF ENTRY:

Guests acknowledge, understand, and agree that Harpole’s Heartland Lodge, Inc. and its employees reserve the right to enter property at any time to investigate disturbances, check occupancy, check damages, make repairs, alterations, and improvements, as Harpole’s Heartland Lodge, Inc. consider necessary.

11.   ITEMS LEFT BEHIND:

Harpole’s Heartland Lodge Inc. is not responsible for any items Guests leaves behind in cabin. If guest would like items shipped, a fee of $25 plus USPO shipping costs for the return will be charged to credit card.  Items will be discarded or donated after 7 days.

12.   DAMAGE DEPOSIT,  NON REFUNDABLE:

A Damage Deposit of $200 covers damages to the rental unit interior that may occur during your stay, provided they are reported to Harpole’s Heartland Lodge, Inc. prior to check-out. If damages are not reported a $500 fee will be charged. Any damages that exceed $500 will be charged to the credit card on file. Any repairs or replacement costs will be charged directly to the Guest credit card on file.

  • Guests are responsible for any damages or theft during their stay and will be charged to their credit card on file.
  • Charges to Guest’s card may include, but are not limited to: damages over and above normal wear and tear, theft, excessive cleanup, unauthorized late or early check in/check out and unwarranted service calls.
  • Should the Guest dispute the charges or the credit card limit is not sufficient to cover the charges, Harpole’s Heartland Lodge Inc. reserves the right to charge the Guests with vandalism and pursue collection from the Guest with the venue being in Pike County, State of Illinois. All reasonable attorney’s fees will be at the expense of Guests should collection become necessary.

 13.  DEPARTURE PROCEDURES: 

Premises are to be left in clean, undamaged condition, and Guests must follow check-in and check-out procedures located here and in the cabin. Properties have been cleaned and inspected prior to Guests arrival. Guests agree to call Harpole’s Heartland Lodge, Inc. if any damages or defects are noticed. Guests acknowledge Agreement/Contract and authorizes Harpole’s Heartland Lodge, Inc. to charge their credit card on file for any damages, repairs, replacement, or special cleaning sustained for real or personal property.

  • Check-out time is 11:00 AM
  • Post-inspection and cleaning occur after each departure by our housekeeping staff to ensure cabin is clean and maintained for the next guest.
  • Failure to comply with these departure procedures could result in an additional charge to your credit card.
  • Unauthorized late check-outs – Guests may be charged up to double the daily rental fee if their departure extends past 11:00 AM.
  • Check-out procedures – You will find this list at each unit. It must be completed and initialed before departure. 
    • Used sheets and pillow cases have been removed and placed at foot of bed.
    • Used dishes have been washed, dried, and put away in their original location.
    • Used towels and wash cloths have been gathered and placed in a single bathtub.
    • All furniture has been returned to its original locations.
    • All food/drink has been thrown away or donated to a food bank. (Cabinets and Refrigerators)
    • All trash has been removed from can(s), bagged, and gathered on the kitchen floor, unless noted.
    • Refrigerator cleaned out of all perishable goods or open containers.
    • All small appliances are off. (TV, coffee pot, etc.)
    • All windows and doors are CLOSED and LOCKED.
    • All trash and ashes are emptied from grill into trash bag, if ashes are cool.
    • Cabin temperature is set to 55 degrees (Winter) or 75 degrees (Summer), unless noted. (Do NOT turn unit off!)
    • Smoking: While unit is non-smoking, exterior smoking is permitted at all units. The guests are responsible for disposing of EVERY cigarette butt, used match, etc. before check-out. This includes items left in the yard, porch, outside ash trays, etc. All smoking debris and trash must be placed in a trash bag with the rest of the trash in the kitchen at check-out.
    • Please leave the unit in the condition as it was found upon arrival.
    • If the cleaning crew has to do any of the above items, the price will be deducted from the deposit on file.

14. Trespassing:

Please do not leave the 50 acres that surround Heavenly View. When turning off the hard surface road onto the gravel driveway we only own the road (not the land on either side of the road) until it reaches the fence on each side of the road. The 50 acres begins once you pass this fence. If you leave our 50 acres you could be arrested for trespassing. Do not cross any fences.  

15.   DISCLOSURE:

Harpole’s Heartland Lodge, Inc. reserves the right to refuse service to anyone.  All rental properties are leased without regard to race, color, religion, sex, national origin, or handicap. 

Due to liability issues, Harpole’s Heartland Lodge, Inc. will be unable to provide prospective renters with directions or codes to preview properties. 

16.   VIOLATION OF AGREEMENT/CONTRACT:

Guests acknowledge, understand, and agree that Harpole’s Heartland Lodge, Inc. reserves the right to remove renter, if any of the Agreement/Contract items are not met.  NO REFUND OR REBATE will be offered.

17.   EXPEDITED EVICTION:

A material breach of this Agreement by Guests, which, in the sole determination of Harpole’s Heartland Lodge, Inc., results in damage to the premises, personal injury to Guests or others, a breach of the peace, a nuisance to others, or a violation of criminal law or local code, shall be grounds for termination of Guests tenancy.  Violation of any of the rules contained herein will result in IMMEDIATE EVICTION and forfeiture of rent and security deposit.  Guest(s) may be evicted under such procedures if Guest(s): (I) hold over in possession after Guest(s) tenancy has expired; (II) commit a material breach of any provision of this Agreement that according to its terms would result in the termination of Guest(s) tenancy; (III) fail to pay rent as required by this Agreement, or (IV) have obtained possession of the Premises by fraud or misrepresentation. Any reservation made under false pretenses will result in forfeiture of advance payments and the party will not be permitted to check-in 

18.   DISPUTES:

This Agreement/Contract shall be governed by and interpreted in accordance with the laws of the State of Illinois and be treated as though it were executed in the County of Pike, State of Illinois.  Any action relating to this Agreement/Contract shall be instituted and prosecuted only in the Pike County Court, Illinois.  Guests specifically consent to such jurisdiction and to extraterritorial service of process. 

19.   INDEMNIFICATION AND HOLD HARMLESS:

Guests acknowledge, understand, and agree that Guests shall be solely responsible for any property damage, accident or injury to any person or loss sustained by any person, including loss of money, jewelry, and other items of personal property, arising out of or in any way related to Guests use of the premises or the items of personal property provided by Harpole’s Heartland Lodge, Inc., and Harpole’s Properties, Inc.  Guests shall inspect and be familiar with proper use and application of such items prior to using them.  Guests hereby agree to INDEMNIFY and hold Harpole’s Heartland Lodge, Inc., Harpole Properties Inc., employees, owners and officers harmless from any and all claims including those of third parties, arising out of or in any way related to Guests use of premises or the items of personal property provided therein. Guests hereby agree to hold Harpole’s Heartland Lodge, Inc., Harpole Properties Inc. employees and officers harmless and to indemnify same against any and all claims which may arise during and after the course of rental as a consequence of any acts or omissions of Harpole’s Heartland Lodge, Inc. and/or cabin owner, employees and officers.  Guests assume the risk of injury or other losses relating to any recreational activities and will hold Harpole’s Heartland Lodge, Inc. and Harpole Properties, Inc. harmless with respect there to.
